Is AI Answering Your Calls? How To Stop Losing Revenue On Missed Calls

If your trade business is paying for leads but still missing the phone, you do not have a lead problem. You have a conversion problem.

In this episode of The Site Shed Podcast, Matt Jones sits down with James O’Neill from WildJar to unpack one of the biggest revenue leaks in trade businesses today: missed calls.

For a lot of plumbers, electricians, builders, and service businesses, the phone is still where the best leads come from.

Why missed calls are costing tradies more than they think

Most trade business owners focus on lead generation first. They want more website traffic, more Google Ads clicks, and more enquiries. That is fair enough.

But if your team is not answering calls properly, following up fast, or tracking where calls came from, then more leads will not solve the real issue.

James explains that there are really two parts to this problem.

The first is measurement. You need to know what marketing channel, keyword, campaign, or source caused the phone call in the first place. The second is call-handling. Once someone calls your business, what happens next matters just as much as the lead source. If you miss, fumble, or handle the call poorly, you lose the opportunity.

  • Which channels bring in first-time callers?
  • Are high-value jobs coming from one source more than another?

Why better data leads to better conversions

Matt and James make an important point in this conversation. It is not enough to feed platforms more conversion data. You need to feed them better conversion data.

But right now, if your goal is pure conversion performance, human interaction still wins in many situations.

That is an important distinction.

A lot of business owners are selling themselves the dream that AI will run the whole front end of their business. In reality, the current opportunity is more practical.

Use AI to support your process, improve speed, capture missed opportunities, and coach your team.

Do not assume it can replace a strong human sales process overnight.

Why speed still matters in lead conversion

One of the clearest themes in this episode is speed.

When someone calls your business, they are raising their hand. In many cases, especially in reactive trades, they need help now. If you do not answer, follow up quickly, or route the lead properly, they move on.

Even a delayed response can cost you the job.

That is why so many trade businesses struggle when enquiries are sent to a generic inbox, handled manually, or left sitting in email. Matt calls this out directly. Leads that arrive by email without a proper system behind them are far more likely to fall through the cracks.

The bigger picture: lead cost vs customer value

They ask how much they spent, how many leads they got, and what happened immediately after. That is useful, but it is incomplete. The bigger question is this:

What is that customer worth over time?

If you have strong systems, good service, proper follow-up, and a plan for retention, a single phone call can turn into years of revenue. That changes how you think about marketing, sales, and operations.

What tradies should fix first

If you want to stop losing revenue on missed calls, here is where to start.

1. Track every call properly

If you are spending money on digital marketing, you need to know what is making the phone ring. Without attribution, your reporting is incomplete and your optimisation is guesswork.

2. Audit how your team answers the phone

Listen to the calls. Review how they are handled. Verify if your team sounds helpful, clear, and confident. A poor phone experience can ruin a valuable lead.

3. Set up a missed call follow-up process

At minimum, ensure that a system responds straight away when you miss a call. SMS follow-up, call-back workflows, and after-hours handling can all help.

4. Use AI where it adds value

AI can support call summaries, lead qualification, sales coaching, and after-hours coverage. Use it to strengthen your process, not to hide a weak one.

5. Look beyond cost per lead

Think about lifetime value, retention, and conversion quality. Better leads are good. Better systems are what turn those leads into profits.
